Influencer invoice: the mandatory details

An incomplete invoice gets disputed, gets paid late, and weakens any claim. Here is what it must contain, and the two lines almost nobody includes.

Updated 2 August 2026

In short

An influencer service invoice must show the full identity of both parties, a unique number, the date, the service details, the amount excluding and including tax with the applicable VAT treatment, and the due date. Two lines are mandatory and almost always missing: the late-payment penalty rate and the flat €40 recovery fee.

What the invoice must contain

Identity, number, date, service, amounts, due date, penalties.

DetailWhat it means
Both parties' identityName or company name, address, business registration number
Invoice numberUnique and sequential, with no gaps in the sequence
DatesIssue date and date the service was performed
Service detailsPlatform, format, number of pieces, publication period
AmountsPrice excluding tax, VAT rate and amount, total payable
VAT not applicableMandatory statement if you are under the VAT exemption scheme
Due dateA specific date, not “on receipt” — see the next section
Late-payment penaltiesThe applicable rate, mandatory on any business-to-business invoice
Recovery fee€40, a mandatory statement

The due date changes everything

Write a date, not a vague phrase.

“Payable on receipt” is not a due date: it is an intention. A specific date, by contrast, mechanically triggers penalties the following day, with no possible argument about when the clock started.

The framework, as a reminder: absent an agreement, the deadline is 30 days after the service is performed; where one was agreed, it cannot exceed 60 days from the invoice date, or 45 days end of month where the contract expressly says so.

Frequently asked questions

Do I charge VAT on influencer services?

It depends on your tax regime. Under the VAT exemption scheme you invoice without VAT, stating the applicable exemption. Above the thresholds, standard-rate VAT applies. Check your own situation with an accountant rather than copying an invoice found online.

What if the brand never sends a purchase order?

It does not prevent invoicing, but some large companies refuse to pay an invoice without a purchase order reference. Ask for it before you start: it is the most mundane — and most avoidable — cause of a payment stuck for weeks.

Can I invoice before publication?

Yes if the contract provides for it, typically for a deposit on signature. The balance is usually invoiced on publication. Spell it out in the contract: an invoice issued at a moment the brand did not expect is a frequent cause of delay.

The best invoice is the one you never chase

With Fylakia the budget is deposited before filming and paid out as soon as the agreed criteria are met. The invoice accompanies payment instead of chasing it.
